White's Bakery Saves Time And Cuts Errors With Switch To Cybake
White’s Bakery, based in Worsbrough Bridge, Barnsley, South Yorkshire, was founded in 1934 by Elsie White in the local library.
Her great granddaughter, Georgina White, sales and marketing executive at the fourth-generation family firm, explains: “She was a librarian, but in her spare time, she baked cakes and loaves of bread. The local village found out about this, the business grew, and the library eventually turned into a shop.”
From there, the business expanded rapidly. “We had about 15 shops at one point,” Georgina recalls. “Then in 1980, we moved to the site we’re on today, and the company just kept growing.”
Two decades ago, White’s made a strategic move away from retail into the food service sector. Today, the bakery produces a wide range of individually wrapped, home-baked goods for wholesale customers across the UK.
Georgina says: “We produce cakes, chocolate muffins, biscuits, shortbread, and flapjacks, but our biggest bestseller is definitely the chocolate cookie. We supply around 250 wholesale customers now, including independent schools, academy trusts, distributors, and wholesalers.”
As White’s Bakery expanded, it became clear that its legacy bakery management system was holding it back.
Georgina explains: “It was coming to the end of its life. It wasn’t cloud-based. We couldn’t develop it further, and it didn’t communicate with our other systems. It just wasn’t working for the growth we were experiencing. I was inputting a lot of data manually into Excel just to get basic management reports.”
That changed when they moved to Cybake bakery management software.
White’s now uses Cybake for order processing, customer route planning, recipe management, production planning, picking and packing sheets, and more.
Seamless
Georgina says: “Cybake is more seamless than our old system. It’s helped with human error and removed the mistakes we were making during order processing. The customer web portal has also eliminated the mundane job of manually entering orders. We’ve saved around 15 hours a week just on basic order processing.”
Thanks to Cybake’s cloud-based platform, customers can now place their own orders online, and those orders automatically integrate with the bakery’s production planning.
Cybake’s Business Intelligence (BI) function has also transformed the way White’s Bakery handles reporting.
“We now get reports on customer spend, quantity, profit analysis, route value, van round value – everything we need to make more focused decisions,” says Georgina.
Georgina praises the onboarding support from Cybake’s team.
“The process was absolutely fantastic,” she says. “We had multiple Zoom calls with Andy and Richard, and they were always there to support us. They could quickly jump on and show us what to do. The SOP function and the chat box are amazing too. They really help the rest of the staff when I’m not around.”
